Source evidence, matching and exceptions explain how recorded outcomes compare with money actually reported by a provider.
Evidence remains evidence.
Provider statements, bank CSV files and original expense documents are evidence sources. They can support matching, review and explanation. Importing evidence does not by itself establish a verified provider payment, create a customer balance or authorize a refund.
Reviewed allocations can associate partial or combined deposits with records and account for bank fees. The history and remaining amounts must stay explainable. External provider settlement formats and actual fee behavior still require acceptance for the selected integration.
Differences become explicit cases.
A mismatch is an exception to investigate: missing settlement, amount difference, duplicate reference, reversal or conflicting evidence. Record the source, responsible owner and resolution evidence. Do not silently change a payment’s original amount to make a statement match.
- Agree on statement identifiers, timezone and settlement cutoffs.
- Identify how gross amount, fees and net settlement relate.
- Test short, over, late, duplicate and reversed outcomes.
